Using Collection Exports with External Platforms

Your organization probably has many interconnected activities, so your platforms should work together. Organizations use Crowded as a payments and donations processor, but may use a CRM, AMS, or donor management system to communicate with their audiences.ย 

Once your org starts receiving payments from Collections or Fundraisers, use this information on another platform your nonprofit uses โ€“ from tracking donations on a donor management platform, to welcoming new dues-paying members in an AMS.ย 

Using the Collect tabs, filters, and export functions, you can smartly segment payers and take action.ย Regardless of which platform you upload the data to, first export the right data. There are a few exporting options, so read each definition to ensure youโ€™re getting the right data for your purposes.

ย Export Option 1: Overall Collection Export

From the main Collection dashboard, clicking on the export icon will download a CSV of an overview of all your organizations’ Collections and Fundraisers.

The following information will be included:

Field Name

What It Contains

Collection Name

The name of the Collection or Fundraiser

Created Date

The date the Collection or Fundraiser was created

Requested Amount

For Fixed Amount Collections: the amount each payer was asked to pay

Total Paid

The total amount of money paid by the contact to that Collection or Fundraiser across all payers and paymentsย 

Payers

The number of contributors to that Collection or Fundraiser

Goal

For Fundraisers: the amount of money set as the fundraising goalย 

Fees Paid by Org

The total amount of fees that were charged to your organization across all payments to that Collection or Fundraiser

Fees Paid by Payers

The total amount of fees that were charged across all payers to that Collection or Fundraiser

Status

Status can be active and still accepting payments, or inactive and closed to new payments

This export is useful to get an easy overview of the total money in and fees paid. We suggest using this export for reporting or accounting purposes.

Export Option 2: Individual Collection Export

ย Export the results from just one Collection or Fundraiser by double-clicking on the desired Collection, applying any filters, and then clicking on the download icon. The CSV file will automatically start downloading.ย 

The following information will be included:ย 

Field Name

What It Contains

Name

The payer’s full name as it appears on their Crowded profile.

Role

If the payer is an admin or contact on the Crowded platform

Email

The payer’s email address.ย 

Phone Number

The payer’s phone number.ย 

Payments

The number of individual payment transactions made by this payer. A value greater than 1 indicates a recurring payment

Paid

The total amount the payer has submitted so far. Includes all payments made, even if the full amount hasn’t been received yet.

Payment Date

The date the payer paid the Collection or Fundraiser

Received

The amount actually settled into your account after any processing fees.ย 

Status

The current payment status for this payer: Paid, Not Paid, Failed, or Multi-payments (if they are paying on a recurring basis)

Use this export to see who has contributed, how much, when, and fees paid, along with their contact information. This could be useful for tracking high contributing donors, or for extracting who has paid their membership dues.ย 

Export Option 3: Not Paid Exportย 

Export only the list of contacts who owe your organization a payment, and a CSV file will automatically download to your device.

The payer’s email address.ย

The payer’s phone number.ย 

Collection Name

The name of the Collection or Fundraiser

Requested Amount

The current payment status for this payer: Not Paid or Failed

Export Option 4: Contact Export

Track and export the payment history of an individual by navigating to their contact page. Apply any filters, and then click to export. The CSV includes one row per collection the contact has been part of.

The following information will be included:ย 

Field Name

What It Contains

Collection Name

The name of the Collection or Fundraiser shared with them

Date Created

The date that the Collection or Fundraiser was created

Requested Amount

The set amount for payment for fixed amount Collections only

Paid Amount

The total amount the payer has submitted so far. Includes all payments made, even if the full amount hasn’t been received yet.

Received Amount

The amount actually settled into your account after any processing fees.ย 

Payments

The number of individual payment transactions made by this payer. A value greater than 1 indicates a recurring payment

Status

The current payment status for this payer: Paid, Not Paid, Failed, Multi-payments (if they have paid multiple times manually), or Ongoingย  (if they are paying on a recurring basis)

Payment Date

The date(s) the payer paid the Collection or Fundraiser

This export can be helpful for calculating total contributions and payments of an individual or creating a donor profile.

Uploading Collect Data to: Mailchimp / Hubspot / Constant Contact / AMS or CRM

Best for: sending welcome emails to new members, thank you notes, general email communications

  1. Download the desired Crowded export
  2. Sign in to your email marketing provider, navigate to Audience/Contacts, and click Import.
  3. Upload the CSV from Crowded, and match it to the columns already in the system
  4. Suggested: Map the Status column to a tag (e.g. tag each row with “Paid” or “Not Paid” based on the value).
  5. Use those tags to segment your audience when building campaigns โ€” send thank-you emails only to Paid, reminders only to Not Paid.

๐Ÿ’ก Tip

Import your collection CSV to a specific Mailchimp audience segment rather than your main list. This keeps your communications clean and avoids triggering campaigns intended for a different list.

Uploading Collect Data to: Bloomerang / Donor Management Platforms

Best for: creating or updating donor records with gift history, identifying upgrade candidates.

  1. Download the desired Crowded export ( Export the individual Collection level export with filters – Status = Paid to import confirmed donors from specified fundraisers.)
  2. Sign in to Bloomerang or your chosen donor management platform, navigate to Constituents, and click Import.
  3. Upload the CSV from Crowded and map the Crowded fields:
    1. Name โ†’ Full Name
    2. Email โ†’ Email
    3. Paid โ†’ Gift Amount
    4. Created Date โ†’ Gift Date
  4. Set the Collection name as the Fund or Campaign source in Bloomerang.
  5. Run the import. Bloomerang will match existing records by email and add the gift to their history.

Use the Tags column to add constituent codes or interests in Bloomerang. If your Crowded tags map to Bloomerang segments (e.g. ‘Alumni 2023’), you can automate stewardship track assignment on import.

Google Sheets (for reporting and board dashboards)

Best for: building financial summaries, tracking collection progress, sharing with a board or treasurer.

  1. Export the desired collection from Crowded.

  2. Open Google Sheets and go to File โ†’ Import โ†’ Upload the CSV.

  3. Optional: Use SUMIF formulas to calculate totals by status:

    =SUMIF(J:J,”Paid”,G:G)ย  โ€” total paid amount from Paid members

    =COUNTIF(J:J,”Not Paid”)ย  โ€” count of members still outstanding

    Add a Pie chart of the Status column for a visual collection snapshot.

  4. Optional: Use those tags to segment your audience when building campaigns โ€” send thank-you emails only to Paid, reminders only to Not Paid.

  5. Suggested: Share the sheet with board members or leadership for reporting
